  • Experience managing urgent shipments, service exceptions, missed appointments, carrier no-shows, freight recoveries, and operational escalations is required.
  • Strong phone, written, and verbal communication skills are required.
  • Confidence making outbound calls, asking detailed questions, challenging rates, and working through carrier objections is required.
  • Strong organizational skills and the ability to manage multiple shipments, deadlines, follow-ups, and changing priorities simultaneously are required.
  • High attention to detail, particularly with shipment requirements, documentation, appointment information, and system updates, is required.
  • Experience reviewing transportation documentation, including bills of lading, proofs of delivery, rate confirmations, carrier paperwork, and shipment records, is required.
  • Proficiency in Excel, Outlook, Microsoft Teams, and other business applications is required.
  • Ability to remain calm, decisive, and solutions-focused when shipments do not go according to plan is required.
  • A strong sense of ownership and willingness to stay engaged until the load or issue is fully resolved is required.
  • Ability to work 100% on-site in Irvine, California, and provide occasional overtime or weekend support as business needs require is required.
Responsibilities

  • Own assigned shipments from carrier sourcing and load coverage through delivery, documentation verification, system updates, and final load closeout.
  • Actively solicit multiple carrier options and negotiate rates rather than accepting the first available offer.
  • Negotiate using current market conditions, carrier bids, internal rate history, service requirements, timing, and available capacity.
  • Balance freight cost, service, timing, and carrier reliability when making coverage recommendations and transportation decisions.
  • Work within established rate targets and approval requirements while pursuing the strongest available option.
  • Coordinate refrigerated full truckload shipments, along with LTL, intermodal, and other transportation modes as needed.
  • Confirm equipment, temperature, pickup, delivery, appointment, and customer-specific requirements before dispatch.
  • Track active shipments and maintain timely, accurate updates throughout the shipment lifecycle.
  • Communicate directly with carriers, brokers, suppliers, receivers, customers when appropriate, and internal teams to maintain shipment visibility and alignment.
  • Handle a high volume of calls, emails, Teams messages, shipment updates, and follow-ups throughout the day.
  • Develop backup carrier options and recovery plans when shipments do not go according to plan.
  • Support urgent, same-day, next-day, and other high-priority shipments with appropriate communication, ownership, and follow-through.
  • Maintain accurate records in the company's transportation management system and operational tracking tools.
  • Use transportation management systems, operational workflow tools, and ticketing platforms to maintain visibility and accountability across assigned freight.
  • Review and maintain rate confirmations, bills of lading, proofs of delivery, carrier records, shipment notes, and supporting documentation.
  • Review and verify shipment documentation for accuracy, completeness, compliance, and timely load closeout.
  • Keep shipment information, status updates, documentation, and communication records current and accurate throughout the shipment lifecycle.
  • Proactively identify delays, missed appointments, carrier no-shows, tracking gaps, documentation issues, and other potential service risks.
  • Take action within established authority and escalate major risks with clear details, available options, and a recommended solution.
  • Manage shipment exceptions, service failures, recoveries, and transportation-related issues while coordinating internal and external stakeholders toward timely resolution.
  • Anticipate operational challenges and develop practical contingency plans to minimize service disruption and customer impact.
  • Hold transportation partners accountable for communication, service, safety, compliance, and execution expectations.
  • Identify opportunities to improve freight execution, strengthen carrier performance, reduce costs, and eliminate avoidable service failures.
  • Assist with reporting, process improvements, system updates, customer onboarding, and other logistics projects as needed.
  • Support continuous improvement initiatives that enhance operational efficiency, service reliability, visibility, and profitability.
Desired Qualifications
  • Refrigerated full truckload or temperature-controlled transportation experience is strongly preferred.
  • Experience with transportation management systems such as Turvo or comparable platforms is preferred.
  • Familiarity with ticketing, workflow, or logistics management systems is preferred.
  • Familiarity with food-grade transportation requirements, shipping documentation, safety expectations, and transportation best practices is preferred.
