Responsibilities
  • Travel to designated locations assigned weekly by the regional managers.
  • Report to the regional managers and, when working on site, to the Practice Site Administrator.
  • Cover patient representative, switchboard, and surgical coordinator paid time off, FMLA, and open positions.
  • Assist the Practice Site Administrator with all tasks.
  • Assist the operations department with special projects and train new staff.
  • Work on site with the operations department for merger and acquisition training and go-live activities.
  • Prepare the office each morning by turning on office equipment, taking phones off service, and collecting messages from the answering service.
  • Answer incoming phone calls, book physician, allergy, and audiology appointments, and take messages when necessary.
  • Schedule appointments for physicians, audiology, and allergy services.
  • Generate schedules for the following day, update schedules throughout the day, and maintain accurate weekly logs for no-shows and double bookings.
  • Greet incoming patients and ensure that new patients complete the necessary paperwork.
  • Double-check patient date of birth, Social Security number, address, and insurance information; accurately and promptly enter or complete the information in the system.
  • Scan patient paperwork into the electronic health record system.
  • Verify insurance coverage at each visit and confirm whether the patient’s address, phone number, or other information has changed; update all records accordingly.
  • Ensure that all health maintenance organization patients have a valid referral before being seen.
  • Create and update patient electronic health record charts.
  • Collect and distribute incoming faxes, mail, and deliveries.
  • Keep the waiting room neat.
  • Ensure phones are on service, inform the service of who is on call, and lock all doors.
