Requirements
  • A high school diploma or equivalent is typically required.
  • At least two years of experience performing administrative or secretarial duties supporting a department, school, college, program, or unit is required.
  • Knowledge of Federal Title IV programs, California state grants and scholarships, and general financial aid policies and procedures is required.
  • Knowledge of modern office methods and practices, including filing systems, telephone and email etiquette, business forms, letter and report writing, proofreading, and office equipment, is required.
  • Ability to assess, navigate, and research student records in Banner, Etrieve, and federally related websites and portals is required.
  • Ability to advise on financial aid policies and procedures, collect and analyze data, and handle confidential financial aid files is required.
  • Ability to perform office work involving independent judgment, accuracy, and speed; devise or adopt office procedures; prepare clear and comprehensive reports; maintain difficult records; interpret and apply rules and written directions; and maintain confidential information is required.
  • Accuracy and efficiency in tracking documents through the financial aid cycle is required.
  • Written and oral communication skills and customer service skills are required.
  • Basic knowledge of office machines, word processing, spreadsheets, email, and databases, including Microsoft Word, Excel, and PowerPoint, is required.
Responsibilities
  • Advise prospective and currently enrolled students and their families about financial aid and scholarship information.
  • Provide information and refer students to university resources that can help meet their needs or resolve inquiries.
  • Use professional judgment to solve complex financial aid cases.
  • Coordinate new media communications for the Financial Aid Office, including social media accounts, text messaging, and chatbot communication software on the department website.
  • Provide customer service to callers and office visitors by explaining financial aid programs, application processes, required documentation, university and office policies, and procedures.
  • Assist students with completing forms and screen counselor calls by resolving questions or referring calls to other office staff.
  • Participate in cross-training to answer admissions questions.
  • Make appointments for students and parents with counseling staff and schedule and log walk-in appointments.
  • Assist with outreach activities related to recruitment, retention, and post-graduation financial aid issues.
  • Develop, maintain, and monitor department social media accounts, including posting messages and coordinating direct-message responses.
  • Coordinate and monitor messages from the university chatbot and coordinate responses for questions requiring follow-up.
  • Coordinate text messaging during messaging campaigns and coordinate messages from the department’s chatbot vendor.
  • Support call campaigns for incoming freshmen and current student populations.
  • Receive and open documents delivered by postal mail, electronic fax, email, and in person.
  • Review incoming documents for completeness and signatures, track documents, return incomplete documents, and route returned mail.
  • Log complete and incomplete documents in Banner.
  • Scan and index documents in Etrieve.
  • Enter tax documents in Etrieve for verification and file documents after scanning.
  • Support the annual file-purging process.
  • Provide mentorship and training to work-study students.
  • Support student recruitment and retention efforts for Loyola Marymount University undergraduate and graduate populations.
  • Perform other assigned or requested duties.
