Requirements
  • A high school diploma or GED is required.
  • Prior experience with Release of Information fulfillment is preferred.
  • Demonstrated attention to detail is required.
  • Demonstrated ability to prioritize, organize, and meet deadlines is required.
  • Demonstrated documentation and communication skills are required.
  • Demonstrated ability to maintain productivity and quality performance is required.
  • Basic knowledge of medical records and the Health Insurance Portability and Accountability Act of 1996 is preferred.
  • Prior experience with electronic health record or electronic medical record platforms is preferred.
  • Prior experience with the Windows environment and Microsoft Office products is required.
  • Strong interpersonal skills with team members, clients, and requestors are required.
  • Strong computer skills and Microsoft Office skills are required.
  • Prior experience operating printers, computers, fax machines, scanners, and microfilm reader/printers is preferred.
  • The candidate must be detail-oriented, self-motivated, and able to remain focused on tasks for extended periods.
  • The candidate must be able to read, write, speak, and comprehend English.
Responsibilities
  • Process assigned Release of Information requests for medical records accurately, efficiently, and within required turnaround times.
  • Access Release of Information requests and medical records according to each healthcare client's procedures and security protocols.
  • Prioritize and complete daily requests based on turnaround times, procedures, and service agreements.
  • Validate requests and signed patient authorizations for compliance with the Health Insurance Portability and Accountability Act, applicable federal and state statutes, and established procedures.
  • Classify request types correctly and log requests into Release of Information software.
  • Retrieve and upload requested portions of patient medical charts from electronic or physical repositories.
  • Perform quality-control checks to ensure release accuracy and prevent breaches of Protected Health Information.
  • Check invoices for accuracy and adjust them as needed.
  • Release requests to valid requesting entities and reject requests that are not compliant or otherwise valid.
  • Return records from physical repositories to their proper locations according to procedure.
  • Document exceptions, communications, and other relevant request information in Release of Information software.
  • Alert the supervisor to questionable requests, suspected breaches, delays, connectivity problems, equipment malfunctions, and security risks.
  • Answer requestor inquiries about requests in an informative, respectful, and efficient manner.
  • Store records and files properly and securely before leaving the work area.
  • Maintain adequate office supplies and assist with additional healthcare facilities or request types during backlogs.
  • Complete responsibilities in accordance with company and healthcare-facility policies, the Health Insurance Portability and Accountability Act, applicable regulations, and ethical standards.
  • Maintain confidentiality and security when handling privileged patient information.
  • Complete required training within the allotted timeframe.
  • Create invoices and billing materials for clients.
  • Keep client information details up to date.
  • Perform other assigned duties.
