Requirements
  • A high school diploma or equivalent is required.
  • Three years of experience in a secretarial field is required.
  • Excellent written communication skills are required.
  • Excellent office computer skills are required.
  • Strong interpersonal skills, including communication, empathy, and active listening, are required for face-to-face interaction with citizens, vendors, and other city departments.
  • A valid driver's license is required.
  • The ability to prioritize tasks, meet deadlines, work independently or in groups, and maintain a high degree of accuracy and attention to detail is required.
  • The ability to work in a typical office setting using standard office equipment and to communicate in person or by telephone is required.
Responsibilities
  • Serve as the administrative assistant to the City Engineer and Chief Building Official.
  • Organize, maintain, and retrieve files, including records for street paving, environmental, transportation, drainage, sewer, flood plain, traffic engineering, personnel, and special projects.
  • Answer basic questions regarding building inspections, code enforcement, and zoning.
  • Process requisitions, purchase orders, credit-card statements, and P-Card statements for the Civil Engineering, Building Inspections, and Code Enforcement departments.
  • Assist with monitoring departmental budgets.
  • Complete forms for stormwater engineering fees and new water, sewer, and gas service orders.
  • Prepare contracts, specifications, bid documents, correspondence, reports, advertisements, street paving estimates, and street paving assessment ordinances.
  • Schedule appointments and maintain the Chief Building Official's calendar.
  • Order supplies for Engineering, Building, and Code Enforcement.
  • Assist walk-in and telephone customers and serve as the department's first customer contact.
  • Perform keyboarding and typing.
  • Prepare charge tickets for billing wire, cable, and conduit encroachment annual permit customers.
  • Maintain the inventory of items assigned to Engineering employees using Track-It.
  • Maintain petty cash, collect copying-plan fees, track collected funds in a spreadsheet, and forward money to Cashiers for deposit.
  • Maintain building-inspection records and update the system.
  • Record complaints, orders, and liens with the Thomas County Court for the Building Inspection Department.
  • Schedule demolition hearings and send certified mail related to the demolition process.
  • Send demolition orders, complaints, and ordinances to the newspaper for filing and publication.
  • Collect signatures on paperwork required for demolitions and contracts.
  • Handle bid openings and notify contractors about Code Enforcement and Building Inspections bids.
  • Maintain vehicle maintenance schedules for the Civil Engineering, Code Enforcement, and Building Inspections departments.
  • Assist office staff.
