Requirements
- High school diploma or GED.
- An associate or technical degree, two years of relevant experience, or a combination of college and experience equivalent to two years.
- At least six years of senior-level administrative experience supporting upper management, including experience working with boards or committees and preparing executive meetings.
- Advanced knowledge of office equipment, printers, and fax machines.
- Advanced knowledge and proficiency with Microsoft Office products, including Word, Excel, and PowerPoint, Adobe Acrobat, and complex calendar management in Outlook.
- Ability to communicate verbally and in writing, exercise emotional maturity, and demonstrate versatility and flexibility.
- Strong attention to detail and organizational skills.
- Ability to multitask, prioritize work, meet deadlines, and coordinate projects.
- Professionalism and discretion when handling confidential materials and highly sensitive matters.
- Ability to build working relationships with staff, management, board members, and external partners.

Responsibilities
- Provide liaison and administrative support for a member of the Executive Leadership Team.
- Act as the point of contact among executives, employees, clients, and external partners.
- Organize and coordinate executive meetings, activities, commitments, and responsibilities.
- Take meeting notes and minutes.
- Manage information flow in a timely and accurate manner.
- Assist with programmatic initiatives.
- Manage complex calendar scheduling, answer and direct calls, take messages, and receive and direct internal and external partners.
- Open, sort, and distribute incoming correspondence, including email.
- Facilitate internal email communications.
- Assist with internal website maintenance when needed.
- Monitor the division’s support needs and manage those needs promptly.
- Coordinate divisional program activities and support strategic initiatives.
- Manage the Employee of the Month and other employee-focused programs when needed.
- Plan and organize committee meetings, divisional town halls, off-sites, and corporate and divisional events.
- Lead work teams and coordinate meeting and event logistics.
- Create presentation materials, including charts and graphs.
- Disseminate meeting materials and post meeting notices to appropriate external sites.
- Take official minutes, prepare minutes, and follow up on action items.
- Research and compile data.
- Create and maintain spreadsheets, presentations, and databases.
- Analyze data and identify and research discrepancies.
- Prepare and distribute reports to the senior management team, including expense and department budget reports.
- Create, process, and maintain division expense reports, requisitions, and purchase orders.
- Organize and maintain corporate and divisional documents and data.
- Coordinate travel arrangements.
- Provide backup administrative support for division management.
- Participate on committees and take on special projects and other duties as needed.
Desired Qualifications
- At least seven years of experience in a corporate setting supporting upper or executive management teams.
- Experience with Microsoft Access, Visio, and Microsoft Project.
- Experience working in the insurance industry.
