Requirements
  • A High School Diploma or GED is required.
  • Two years of experience in an administrative support, Human Resources support, and/or receptionist role.
  • Demonstrated ability to schedule and orient staff.
  • Understanding of infection control procedures.
  • Ability to plan and organize.
  • Ability to multitask and manage stress.
  • Proficiency in Microsoft Office and Phoenix applications, with the ability to learn new applications.

Responsibilities
  • Provide human resources services and program support to community associates, department directors, and the Executive Director.
  • Assist the Executive Director with payroll processing, daily time and attendance, and the human resource information system.
  • Support team-member recruiting and onboarding.
  • Track training and maintain personnel files and employment binders.
  • Administer benefits and workers’ compensation matters.
  • Greet potential residents, families, and visitors; manage internal and external calls; and communicate messages.
  • Perform general administrative duties and monitor the Bistro area for refreshments, cleanliness, music, and a pleasant atmosphere.
  • Review the Resident Profile and addendum for every new resident to learn about each new move-in.
  • Recognize changes in a resident’s condition, take appropriate action, and communicate with the clinical team.
  • Assist residents to and from destinations when necessary.
  • Respond to resident requests and inquiries.
  • Maintain the Bistro area in an orderly manner in communities with Bistros.
  • Inventory and order community office supplies.
  • Log and distribute invoices to department directors for coding and approval.
  • Maintain the Tickler Reminder tracking system for certificate and license renewals.
  • Assist the Executive Director with establishing and maintaining personnel files and employment binders in accordance with applicable requirements.
  • Complete Phoenix job-specific training and all training required by the state or other regulating authorities.
  • Complete new-hire paperwork, prepare associate data for payroll and record keeping, and track associate training.
  • Lead new-team-member orientation, including paperwork, community overview, associate handbook and policy overview, and CORE class scheduling.
  • Participate in meetings with department directors and associates and maintain communication with the Executive Director.
  • Protect the confidentiality of resident information.
  • Act as a liaison for associates and assist with Human Resources, benefits, and payroll concerns.
  • Assist with compliance with state assisted-living regulations and state and federal regulations, including Occupational Safety and Health Administration requirements.
  • Partner with department directors on risk-management programs, policies, light-duty matters, and workers’ compensation claims.
  • Conduct invoice check-ins with vendors and manage past-due invoice status.
  • Perform daily, weekly, monthly, and annual payroll administration.
  • Review payroll and timekeeping edit reports and coordinate approval of hours with department directors.
  • Process approved labor adjustments.
  • Track performance-appraisal due dates, process approved merit increases, and file documentation in personnel files.
  • Cover front-desk concierge duties when needed.
  • Scan and deliver invoices and past-due notices to the home-office payables inbox and escalate related calls for research and response.
  • Send ancillary-charge changes to the home office for processing.
  • Support other assigned general administrative duties.
