  • Ability to travel onsite as needed for more than 25% of the time, including potential weekend and extended travel of up to one week.
  • Availability for occasional nonstandard work hours based on project needs, deadlines, deliverables, and urgent client needs.
  • Strong understanding of project management, budgeting, and financial processes involved in meeting logistics.
  • Ability to negotiate and manage ambiguity while working on multiple meetings simultaneously.
  • High level of integrity, confidentiality, and accountability.
  • Ability to prioritize tasks and manage time effectively to meet deadlines.
  • Exceptional written and verbal communication skills for collaboration with vendors, clients, and internal teams.
  • Excellent attention to detail and accuracy in data entry and record-keeping.
Responsibilities
  • Manage all logistical elements of each program, including site research, invitation development, confirmations, travel, production, database management, banquet event order development, onsite coordination, and reporting.
  • Oversee attendee registration, including database management, participant communications, reporting, and onsite registration desk operations.
  • Adhere to company planning standard operating procedures to ensure consistency and accuracy.
  • Develop and communicate detailed status updates to management and clients regarding project timelines and expectations.
  • Act as the meetings department client-facing liaison for assigned programs, delivering proactive updates and recommendations.
  • Oversee project logistics scope and identify and process scope changes as needed.
  • Research and assess hotel, restaurant, and travel options by developing and disseminating requests for proposals and assessing availability reports to determine appropriate venues.
  • Manage program budgeting and cost projections.
  • Develop clear, concise, professional, and accurate communications for clients, attendees, hotels, travel partners, and internal and external stakeholders.
  • Manage travel and accommodations for presenters and attendees through approved travel agencies, airlines, ground transportation companies, hotels, and venues.
  • Oversee menu compilation to balance offerings and accommodate dietary needs within budget.
  • Provide recommendations for effective and budget-conscious audiovisual services.
  • Process restaurant, hotel, and catering contracts and payment documentation.
  • Develop or manage the development and production of meeting materials.
  • Travel to and facilitate onsite meeting coordination, managing attendee support, audiovisual services, transportation, food and beverage, onsite staff, and other program requirements.
  • Manage program closeout, including reconciliation of program costs, budget updates, completion of documentation, and reconciliation-period true-up.
  • Develop accurate post-meeting reconciliation reports.
  • Follow expense reimbursement guidelines.
  • Provide final approval on deliverables to ensure strategic objectives are met and project details are accurate.
  • Ensure compliance with Sunshine Act reporting, the PhRMA Code, client-specific business rules, and non-U.S. country-specific compliance requirements; maintain audit-ready documentation for live meetings.
  • Promote a culture of respect, professionalism, accountability, collaboration, mutual support, and a positive solutions-focused approach across departments.
Desired Qualifications
  • Bachelor's degree in Business, Hospitality, Communications, or a related field.
  • Two or more years of industry-specific meeting planning experience.
  • Knowledge of hotel, restaurant, and travel logistics.
  • International meeting planning experience.

Citrus Health Group acquires CNS-focused medical communications agency The Medicine Group

Citrus Health Group and NaviMed Capital have acquired The Medicine Group, a medical communications agency specialising in central nervous system disorders. Founded by Philip Sjostedt in 2010 and based in Doylestown, Pennsylvania, the company focuses on communicating scientific and clinical evidence for CNS treatments under development. The acquisition strengthens Citrus Health Group's CNS centre of expertise, which also includes oncology and rare diseases. Sjostedt will continue in a leadership role as a consultant and member of the Citrus Executive Team. The deal enables The Medicine Group's clients to access a broader range of medical affairs services through Citrus Health Group's platform. Financial terms of the acquisition were not disclosed.
