Requirements

  • Computer skills, word processing, and a minimum typing speed of 60 words per minute.

Responsibilities
  • Perform administrative support functions for a behavioral health office, including processing patient information and supporting behavioral health services.
  • Use the electronic medical record for scheduling, registration, and telephone encounters.
  • Communicate with patients and visitors in an age-specific manner and follow age-specific safety precautions.
  • Answer the telephone within three to five rings, screen and respond accurately, and route calls appropriately.
  • Schedule routine patient appointments and follow triage procedures for emergency appointments according to established guidelines.
  • Schedule non-routine appointments, including cancellations, as directed by the supervisor.
  • Maintain the behavioral health treatment schedule for all staff.
  • Greet and assist patients and visitors in a timely, positive, and helpful manner.
  • Complete patient registration, including verification and updating of demographic and insurance information.
  • Conduct and track prior authorizations in collaboration with the billing department.
  • Maintain knowledge of patient eligibility criteria for different insurance plans.
  • Verify eligibility for sliding fee discounts, collect relevant information, and apply the correct discount.
  • Obtain and scan patient documents required for the appointment type.
  • Check out patients, collect co-pays and charges, and make return appointments.
  • Reconcile payments against day sheet reports, prepare daily deposits, post payments to patient accounts, and document deposits.
  • Collaborate with coworkers and care coordinators, provide backup support, and maintain continuous communication.
  • Coordinate referrals to behavioral health services and conduct telephone outreach to prospective and existing patients.
  • Perform general office duties, including receiving and distributing correspondence, preparing correspondence, scanning, faxing, and photocopying.
  • Participate in staff meetings and distribute agendas and minutes.
  • Control patient and public access to clinical areas while maintaining patient confidentiality.
  • Attend assigned trainings and meetings.
  • Communicate and maintain compliance with HIPAA, corporate compliance requirements, and client confidentiality standards.
  • Remain in compliance with local, state, and federal regulations.
  • Adhere to National Patient Safety Goals established by the Joint Commission and the health center.
  • Assist the Director of Behavioral Health as needed.
  • Complete other assigned duties.
Desired Qualifications
  • An associate or bachelor's degree.
  • Two to four years of work experience in a health care setting.
  • Experience with health information processing and Microsoft Office applications.
  • Knowledge of medical terminology.
  • Multilingual ability.
