Requirements
  • Proficiency with Microsoft 365 tools, including Outlook, Teams, SharePoint, and PowerPoint.
  • Ability to manage government-furnished equipment, inventories, and procurement coordination.
  • At least 3 years of experience conducting administrative support functions.
  • Must have a Secret clearance.
Responsibilities
  • Serve as the administrative focal point for AFCJIC and provide onsite daily support.
  • Manage AFCJIC programs, including the equipment account and security program.
  • Manage organization calendars and email boxes.
  • Utilize the Task Management Tool to receive, delegate, and monitor organizational tasks, ensuring timely completion and accountability across all departments.
  • Facilitate onboarding of new personnel by processing System Authorization Access Requests and other required forms to grant access to essential government databases.
  • Monitor and support personnel training compliance using the Joint Knowledge Online system to track progress and issue reminders.
  • Manage and maintain the organization's digital platforms, including updating Microsoft Teams channels and keeping the AFCJIC SharePoint site current with documentation, reports, and internal procedures.
  • Coordinate complex schedules for senior staff, deconflict appointments, and maintain the master conference room calendar.
  • Organize and support logistical aspects of meetings and events, including room and audiovisual equipment setup, agendas, meeting minutes, employee recognition, and team-building activities.
  • Coordinate and attend official AFCJIC meetings and draft and distribute meeting agendas and minutes.
  • Oversee the lifecycle of office supplies, including inventory, purchase requests, and procurement coordination.
  • Manage government-furnished equipment by maintaining inventories, tracking hand receipts, and coordinating maintenance, upgrades, and secure disposal with the IT department.
  • Maintain and update the unit's Project Task Planner, summarize daily work activities, and compile project status updates for weekly and quarterly leadership reviews.
  • Assist in preparing presentations, reports, and formal correspondence while maintaining electronic and physical filing systems.
  • Review and update Administrative Standard Operating Procedures annually to identify improvements, enhance efficiency, and ensure compliance with current regulations.
  • Assist AFCJIC leadership with administrative oversight and performance functions, including drafting awards and coordinating personnel and team recognition events.
