  • Hands-on MDM experience for both macOS and Windows using Iru/Kandji, Jamf, and/or Intune, including ABM/ADE, Autopilot, compliance policies, and app deployment.
  • Ability to support, troubleshoot, harden, and deploy on both macOS and Windows.
  • Microsoft 365 / Office 365 experience with licensing and app deployment for Word, Excel, PowerPoint, and Outlook; Entra ID basics; coexistence with Google Workspace; and support of Office apps on macOS and Windows.

  • Hands-on experience building with LLM APIs (Anthropic/OpenAI), MCP connectors, and AI agents; scoping access to least privilege, protecting sensitive data, keeping a human in the loop where risk warrants, logging AI activity, and documenting its operation.
  • Understanding of least privilege, RBAC, joiner/mover/leaver processes, and SOC 2-aligned IT controls.
  • Experience partnering with HR / People Ops on employee lifecycle management, including onboarding, transfers, leaves, and offboarding, with clear handoffs, shared data standards, and confidentiality.
  • Hands-on 1Password Business or Enterprise administration, including provisioning, vault design, permissions, policies, account recovery, and shared-credential governance.
  • Ability to read authentication logs, identify risky configurations, and push back on convenience choices that weaken security controls.
  • Experience with SaaS management or shadow IT discovery tools such as Torii, Productiv, or Zluri.
  • Google Workspace administration, including groups, shared drives, security settings, and data transfer.
  • Hands-on Zoom and Zoom Phone administration, including licensing, SSO/SCIM, meeting and recording policies, number management and porting, call queues, auto receptionists, routing, and E911.
  • Advanced experience administering ticketing platforms such as Jira Service Management, Freshservice, Zendesk, or Intercom, including workflows, routing and assignment rules, request forms and catalogs, SLAs, queues, and integrations.
  • Ability to explain technical solutions in plain English to executives, HR, Finance, and users, and translate business needs into technical requirements, designs, and workflows.
  • Ability to write runbooks, knowledge-base articles, and decision documents for technical and non-technical readers.
  • Ability to own work, keep it visible, meet deadlines, and raise blockers early.
  • Takes initiative and independently develops technical skills, such as learning platforms, earning certifications, building side projects, and learning tools such as n8n, APIs, and AI.
Responsibilities
  • Own Okta as the identity and access control plane, including SSO (SAML/OIDC), SCIM provisioning, group rules, profile and attribute mapping, authentication policies, MFA/FastPass, and admin role scoping.
  • Make Okta the provisioning source for eligible apps by migrating remaining Rippling-provisioned apps and configuring supported SCIM integrations.
  • Design and maintain role-based access controls by department, role, and seniority, and maintain access control matrices.
  • Build birthright access, time-bound access, and automatic access revocation.
  • Govern service and shared accounts by maintaining inventories and ownership, converting them to named accounts, and rotating credentials.
  • Conduct recurring access reviews and prepare audit-ready evidence for SOC 2 and security reviews.
  • Partner with Security on zero-trust posture, device admission, geofencing, and Okta system-log monitoring.
  • Design, build, and maintain automations in n8n, Okta Workflows, and the ticketing platform, integrating Okta, Rippling, Ashby, Slack, Google Workspace, Notion, and business apps.
  • Use REST APIs, webhooks, OAuth/API tokens, and JSON payloads to build reliable integrations with error handling, retries, logging, and alerting.
  • Automate the employee lifecycle, including pre-hire preparation, staged Okta creation and timed activation, Day-1 access, role and department changes, and offboarding with access revocation and audit trails.
  • Partner with HR / People Ops on HRIS data standards and trigger timing; coordinate start dates, role changes, leaves, and terminations; and handle HR data discreetly.
  • Convert access requests into self-service catalog items with sensitivity-based approval routing and automatic provisioning on approval.
  • Treat automations as production systems with version control or exportable definitions, documentation, runbooks, credential hygiene, least-privilege service accounts, and clear ownership.
  • Own MDM across macOS and Windows, including enrollment (ABM/ADE and Autopilot), blueprints and profiles, compliance baselines, patching, app deployment, and FileVault/BitLocker.
  • Maintain and extend Okta Device Trust, including device identity certificates, managed-device attestation, and desktop and mobile authentication policy rules.
  • Harden enrollment controls so factors and devices can only be enrolled from managed, compliant hardware.
  • Own hardware lifecycle tooling and data, including assignment, shipping, recovery, resale/disposal, and reconciliation with Finance.
  • Provide frontline support through Medely Help for identity, device, SaaS, and cross-system issues.
  • Handle occasional hands-on fixes, including password/MFA resets with identity verification, break/fix troubleshooting, and remote machine replacement, wiping, re-enrollment, and recovery.
  • Own ticketing-platform configuration, including the request catalog, forms, routing, categories, SLAs, privacy-aware inbox boundaries, and AI triage behavior.
  • Maintain the Helpdesk Knowledge Base and IT internal runbooks in Notion.
  • Build sustainable IT operating rhythms through roadmap hygiene, weekly status, assigned ownership, and visible deadlines.
  • Administer Zoom Workplace, including Okta SSO and SCIM provisioning, license types and assignments, roles, groups, account- and group-level settings, and add-ons.

  • Integrate Zoom and Zoom Phone into the employee lifecycle, including license and number assignment on hire, routing updates on role changes, and number reclamation, recording handoff, and license recovery on offboarding.
  • Track Zoom usage and licenses to right-size seats and Zoom Phone plans at renewal.
  • Enable AI tools through Okta SSO/SCIM, group-based entitlements, usage controls, and approval workflows.
  • Build AI-assisted IT workflows for ticket triage, knowledge-base drafting, access request intake, and reporting, with human review where risk warrants.
  • Design, build, and maintain governed AI integrations using LLM APIs, MCP connectors, and AI agents, with scoped credentials, data boundaries, logging, and ownership.
  • Set safeguards for employee AI use, including approved tools, data-classification guidance, connector and integration scoping, retention and training opt-out settings, and audit logging.
  • Provide practical AI guidance and training in Notion, establish a request path for new AI tools, and review requests promptly.
  • Partner with Security and Legal on AI acceptable-use policy, vendor reviews, and periodic checks of AI tool usage.
  • Own Torii for SaaS discovery; triage unsanctioned apps, OAuth grants, and browser-extension sign-ups by approving and bringing them under Okta, replacing them with sanctioned tools, or shutting them down.
  • Assign a business owner to every app and keep the SaaS inventory current.
  • Use Torii usage data to automate license reclamation and consolidation.
  • Build automations from Torii signals, including newly detected apps, unused licenses, and upcoming renewals, into the ticketing platform, Slack, and Notion.
  • Apply least privilege and zero-trust principles to systems, administrative access, and automation service accounts.
  • Monitor Okta System Log and admin activity; investigate suspicious sign-ins, unexpected factor enrollments, and policy failures with Security.
  • Keep secrets out of tickets, Slack, and workflows; use 1Password and scoped API tokens; and rotate credentials.

  • Support incident response by documenting and containing incidents and following up to close underlying control gaps.
  • Support employee security awareness on phishing, MFA hygiene, and device hygiene, and assist Security with SOC 2 controls and evidence.
  • Design clean, relational IT data in Notion and connected sources for SaaS inventory and status, app ownership, access matrices, asset inventory, roadmap, and ticket insights.
  • Define sources of truth and synchronization patterns between Rippling, Okta, the ticketing platform, and Notion to support accurate, automatable reporting.
  • Build dashboards and metrics for ticket volume and categories, time to resolve, provisioning coverage, SCIM coverage, device compliance, license utilization, and SaaS spend.
  • Support SaaS audits, renewals, and license reclamation using real usage data.
  • Administer Notion as a core company platform, including teamspaces, permissions and sharing patterns, SCIM/SSO, databases, forms, automations, and AI agents.
