  • A minimum of 3 years of progressively responsible administrative or office support experience is required.
  • Demonstrated proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook, and virtual meeting platforms such as Teams is required.
  • Strong written and verbal communication skills are required.
  • Demonstrated ability to manage multiple priorities, work independently, and exercise sound judgment is required.
  • Experience handling confidential information with discretion and in compliance with applicable regulations such as FERPA is required.
  • Strong organizational skills and attention to detail are required.
Responsibilities
  • Serve as a primary point of contact for internal and external inquiries from departments, students, parents, alumni, and partner organizations; coordinate academic program details, identify and resolve problems, and provide specialized program information via phone and email.
  • Create and initiate written correspondence in accordance with professional business and academic standards.
  • Coordinate schedules for academic and departmental meetings, lectures, events, and conferences; reserve space and oversee telecommunication needs; arrange and manage virtual meetings; participate in and record meeting proceedings; and prepare, format, and distribute agendas and minutes.
  • Coordinate with other PASS Team administrative staff to ensure adequate coverage across departments during vacations, sick days, and other absences.
  • Collaborate with relevant campus offices, such as Career Services and the Dean's Office, as requested.
  • Maintain the existing secure online file-sharing, storage, and collaboration platform for department and faculty files.
  • Assist faculty with proctoring arrangements and exam scheduling, including coordinating with testing and accessibility services for students with academic accommodations; reserve rooms for makeup exams and arrange classroom proctors as requested.
  • Support faculty recruitment efforts by coordinating departmental faculty schedules for candidate interview itineraries and assisting with candidate visits in coordination with the Dean's Office.
  • Provide program support and technical and administrative assistance for department-level events, including symposiums, conferences, faculty presentations, competitions, open houses, admitted student days, and student club activities.
  • Design, create, and produce presentations, event flow documents, timelines, programs, promotional materials, brochures, flyers, posters, invitations, correspondence, print and digital signage, and website content; coordinate outreach and marketing activities as assigned.
  • Support event logistics by researching and securing venues and rooms, creating promotional content, arranging technical support and catering, maintaining supplies and equipment, monitoring registrations and attendees, printing name-tags and event materials, providing program information to participants and speakers, and supporting day-of-event execution.
  • Monitor department spending through established processes; secure approvals before purchases; review expenses for appropriateness; and verify supporting documentation for accuracy.
  • Support travel and expense reimbursements for faculty, students, speakers, and guests; provide guidance on PCard usage and reimbursement requests; and verify supporting documentation.
  • Create and provide periodic statistical, enrollment, and progress reports.
  • Monitor academic course schedules with assigned department chairs; maintain databases; perform data entry and retrieval; create spreadsheets and reports; and compile enrollment reports.
  • Ensure the accuracy of student records and departmental data; comply with legal requirements and regulations, including FERPA; and maintain confidentiality when using and conveying sensitive information.
  • Support faculty in tracking, coordinating, and organizing outside engagement information for department-sponsored events to support accreditation and assessment processes as applicable.
Desired Qualifications
  • A Bachelor's degree in Business Administration, Communications, or a related field is preferred.
  • Experience in a higher education or academic department setting is preferred.
  • Experience with event planning and coordination is preferred.
  • Familiarity with budget monitoring and expense reporting processes is preferred.
  • Experience with digital content creation and graphic design tools such as Canva or Adobe Suite is preferred.
  • Experience with web content management systems is preferred.
  • Experience with the Workday enterprise resource planning platform is preferred.
