Requirements

  • Three years of administrative office assistant experience are required.
  • Knowledge of standard word-processing and spreadsheet-preparation software is required.
  • Excellent grammar and punctuation skills are required.

  • Customer service skills and the ability to interact effectively and courteously with internal and external individuals are required.

Responsibilities
  • Perform secretarial and executive support activities for administrators and executives involved in developing, implementing, and managing programs and policies for the TNPRC.
  • Provide executive support for the Chief Operations Officer and, when needed, the Director’s office.
  • Perform confidential and sensitive administrative and executive support tasks using independent judgment.
  • Coordinate office management activities for the Chief Operations Officer.
  • Research, compile, and prepare confidential and sensitive documents and memoranda, and brief the Chief Operations Officer on their content.
  • Read and screen incoming correspondence and reports, assess their importance, organize documents, handle appropriate matters personally, and forward materials to relevant managers, faculty, and staff.
  • Receive and screen incoming calls and visitors, determine priority matters, and alert the Chief Operations Officer accordingly.
  • Make referrals to appropriate staff and provide requested information.
  • Inform others of the Chief Operations Officer’s schedule and maintain schedules for the executive office.
  • Compose letters and memoranda in response to inquiries.
  • Act as liaison between the Chief Operations Officer, the Director, Associate Directors, subordinates, and others by transmitting directives, instructions, and assignments and following up on assignment status.
  • Produce documents, grants, charts, and graphs in final form.
  • Update the Chief Operations Officer on issue status before scheduled meetings when possible.
  • Prepare agendas and collect materials for meetings, speeches, and conferences.
  • Take meeting minutes and maintain records of proceedings.
  • Assist with planning and coordinating arrangements for professional conferences.
  • Review, proofread, and edit documents prepared for the Chief Operations Officer’s signature.
  • Take and transcribe dictation and file and maintain records of technical and confidential matters.
  • Coordinate and facilitate calendars to arrange appointments, meetings, and conferences.
  • Recommend actions concerning office expenditures, including equipment and supply needs.
  • Assist with establishing, revising, and maintaining TNPRC procedures and policies.
  • Compile and maintain records, statistical information, and reports.
  • Participate in and coordinate committees.
  • Establish and maintain electronic and paper filing and records-management systems.
  • Make travel arrangements, prepare itineraries, and prepare, compile, and maintain travel vouchers and records while assisting with reimbursements.
  • Operate standard office equipment.
  • Synchronize electronic media and devices and manage file backups.
  • Perform related assigned work.
Desired Qualifications
  • Specific knowledge and ability to use the Microsoft Office suite is preferred.
