Requirements
  • An Associate’s Degree is required.
  • A minimum of 3-5 years of experience working in a medical office setting is required.
  • Ability to complete assigned tasks independently.
  • Excellent typing, editing, and proofreading skills are required.
  • Strong interpersonal and communication skills and the ability to maintain a high degree of confidentiality are required.
  • Thorough knowledge of Microsoft Office, including Word, Excel, and PowerPoint, is necessary.
  • Ability to effectively interface with students, faculty, staff, and visitors.
  • Ability to tolerate expressions of distress from students and remain calm when students present in distress, crisis, or seeking urgent assistance.
  • Ability to consult with clinical staff when risk-related matters arise, including facilitating emergency care and following emergency procedures.
  • Ability to envision and propose new methods that support the institution’s Entrepreneurial Thought & Action mindset.
  • Ability to anticipate and embrace change, acquire and utilize new skills, and remain flexible in changing conditions.
  • Ability to successfully perform multiple tasks and balance multiple priorities.

Responsibilities
  • Serve as the initial contact for students seeking services at Counseling & Psychological Services and Wellness & Prevention Services.
  • Act as office manager for Counseling Services by developing and maintaining operating practices, record-keeping systems, and forms control, and by creating or revising procedures for efficient office operation.
  • Provide database management and generate monthly and annual reports for Wellness & Prevention Services and Counseling & Psychological Services.
  • Manage budgets for Wellness & Prevention Services and Counseling & Psychological Services, including processing expense reimbursements and staff budget transfers.
  • Monitor and assist with budget tracking, quarterly budget reports, and budgeting priorities across departments.
  • Monitor and maintain the Counseling & Psychological Services email account.
  • Set up travel arrangements for staff.
  • Provide primary support to the Director of Counseling & Psychological Services and general office support to clinicians.
  • Schedule and maintain appointments for Counseling & Psychological Services and Wellness & Prevention Services staff in the Electronic Medical Record system, including blocking holidays, vacations, staff meetings, and clinical meetings.
  • Monitor and update the Wellness & Prevention Services and Counseling & Psychological Services websites.
  • Provide graphic design services for Wellness & Prevention Services publications, brochures, social media, and other materials in collaboration with College Marketing.
  • Support Counseling & Psychological Services social graphic design and social media as needed.
  • Organize, facilitate, and support relevant departmental events.
  • Maintain and order office supplies and supplies for events and meetings.
  • Maintain a private and confidential office environment and handle highly sensitive information and data with care.
  • Attend and provide organizational support for recurring college events such as orientation, health fairs, and other college and department events.
  • Work with the Electronic Medical Record vendor on technical issues experienced by clinicians and patients, and serve as the point person with the vendor and Information Technology Services and Support.
  • Open and forward mail and handle follow-up as appropriate.
  • Answer phones, screen calls, take messages, and provide information to callers.
  • Write and type correspondence, reports, and other materials for the supervisor’s or own signature.
  • Proofread and edit copy generated by the supervisor and others while complying with departmental confidentiality requirements.
  • Monitor the Electronic Medical Record vendor listserv for software changes, updates, and service outages, and notify the Director of Counseling & Psychological Services or designee to help ensure secure file storage.
  • Take notes and prepare meeting minutes for departmental meetings.
  • Work with outside vendors and prepare vendor contracts in alignment with College policies and procedures.
  • Assume additional responsibilities as required.
