Requirements
  • Two to eight years of experience in research, product operations, knowledge management, technical writing, implementation, chief-of-staff work, qualitative research, instructional design, or startup operations.
  • Demonstrated exceptional written communication and the ability to turn messy transcripts into clear operating documents.
  • Strong artificial intelligence tool fluency, including Claude, ChatGPT, Granola, transcript workflows, structured prompting, and artificial-intelligence-assisted synthesis.
  • Demonstrated ability to interview stakeholders and extract operational detail.
  • Strong information-architecture instincts.
  • Comfort working in a fast-moving, ambiguous startup environment.
  • Based in San Francisco or willing to relocate.
  • Ability to identify structurally incorrect artificial-intelligence outputs, prompt for decisions, contradictions, owners, and edge cases, and engineer useful context upstream.
  • Ability to create artifacts that change how people work and to recognize hidden assumptions, missing ownership, and contradictions.
Responsibilities
  • Embed with sales, intake, service, placements, and renewals to shadow workflows, listen to calls, review transcripts, and document tribal knowledge.
  • Turn transcripts, Slack threads, Looms, and one-off explanations into source-of-truth documents, decision logs, playbooks, process maps, onboarding paths, and glossaries.
  • Build repeatable artificial-intelligence workflows that turn raw context into decisions, owners, open loops, standard operating procedures, training material, and product requirements.
  • Shape conversations in real time so meetings produce decisions, owners, definitions, edge cases, unresolved questions, and next steps.
  • Document workflow breakdowns, including reworks, escalations, stale quotes, underwriter follow-ups, payment or binder gaps, certificate-of-insurance delays, and customer confusion.
  • Translate operational work into product requirements by capturing what operators do, where tools fail, existing workarounds, and what needs to be built.
  • Maintain the knowledge base, keep documentation current, assign owners, remove stale guidance, and ensure people know where the source of truth is.
  • Convert recurring problems into playbooks, quality-assurance checks, training artifacts, or product requirements.
  • Produce structured operating-memory artifacts from messy source material using artificial-intelligence tools.
  • Measure whether documentation changes behavior, improves workflow speed, prevents recurring edge cases, or enables new-hire ramping without additional meetings.
  • Work on-site in San Francisco Monday through Friday during in-office hours matching the rest of the company.

  • Experience or background in qualitative or academic research, ethnography, instructional or curriculum design, knowledge management, product operations, technical writing, research operations, implementation, chief-of-staff work, library and information science, artificial intelligence operations, human-in-the-loop work, or startup operations.
