Requirements
  • Have 1–2 years of experience in customer experience, support operations, systems administration, or a similar coordination role.
  • Have hands-on experience with back-end settings of a business tool, such as a customer relationship management system, help desk, ticketing, ecommerce, or scheduling platform.
  • Have strong spreadsheet skills and comfort working with data, including filtering, pivot tables, lookups, and clean reporting.
  • Have clear, organized written communication skills and document work as it progresses.
  • Be familiar with AI chatbots, large language model tools, or no-code automation platforms such as Zapier or Make, through work or personal projects.
  • Have familiarity with JSON, APIs, or basic SQL; the role does not require building integrations, but reading a data file or running a saved query is useful.
  • Be organized and detail-oriented, with the ability to catch small errors before they become larger problems.
  • Have curiosity about how tools work and follow through on tasks independently.
  • Be able to manage a varied workload and keep multiple tasks moving.
  • Be based in Austin, Texas, or willing to relocate there.
Responsibilities
  • Handle everyday setup and maintenance of customer experience tools, including users, permissions, queues, routing rules, templates, and tags.
  • Keep help articles and the knowledge base accurate and current for the team and the AI agents that rely on them.
  • Test system and workflow changes in a practice environment before launch, then confirm they work as intended after release.
  • Monitor system health and data quality, identify errors and broken connections, and fix or escalate issues promptly.
  • Run test cases against AI agents and automations before releases, record results, and retest after fixes.
  • Monitor AI-agent performance in real time and flag incorrect answers, failed handoffs, loops, and missed escalations.
  • Make approved updates to AI-agent instructions and source content, and document every change.
  • Support process-improvement rollouts from setup through testing, documentation, and follow-up.
  • Maintain the improvement backlog, tracking proposed, in-progress, and completed changes and their outcomes.
  • Track requests involving Digital, Fulfillment, Merchandising, Retail, and IT, and keep them moving.
  • Serve as the first point of contact for outside vendor support tickets, opening and following up on tickets through resolution.
  • Prepare weekly and monthly reports on systems and AI-agent performance, and flag unusual results.
