  • A high school diploma or educational equivalent and one year of experience working in an administrative support role performing receptionist or clerical duties, or a satisfactory combination of education, experience, and training.
  • Basic proficiency with Microsoft Office, specifically Word, Excel, and Outlook.
  • Time-management and organizational skills, with the ability to prioritize tasks appropriately.
  • Ability to use and willingness to learn common office equipment and electronic systems to enter, locate, upload, and record information or documents, including Workday, Digital Agency, shared drives, and the intranet.
  • Interpersonal and customer-service skills, including the ability to accurately communicate and collect information verbally and in writing.
  • Willingness to take initiative and attention to detail.
  • Ability to meet the essential physical demands of the position, including sitting, standing, bending, twisting, stooping, kneeling, crouching, pushing, pulling, reaching, and lifting or moving packages or boxes weighing up to 25 pounds.
  • For START/CSIDD assignments, a minimum of two years of experience working with the intellectual and developmental disabilities population or other related human-services experience.
  • For START/CSIDD assignments, ability to work autonomously and effectively in groups.
Responsibilities
  • Greet visitors, staff, and people supported entering the site; announce visitors as necessary and direct individuals to the appropriate party or location.
  • Maintain office security by following safety procedures and maintaining visitor and other logs, including electronic logs, in accordance with applicable procedures.
  • Answer and screen phone calls, direct calls, take messages, and handle inquiries.
  • Coordinate, schedule, and confirm meetings, including securing rooms, determining attendee availability, and sending electronic invitations through Outlook calendar or other systems.
  • Liaise with internal departments and external stakeholders to make requests and coordinate, secure, monitor, and track maintenance issues, appointments, schedules, transportation, and other location- or program-related needs.
  • Receive, sort, prepare, and distribute mail, packages, and deliveries; replenish, stock, and distribute supplies.
  • Perform clerical and administrative tasks, including filing, copying, scanning, data entry, and creating memos, lists, spreadsheets, and other documents.
  • Obtain, access, and review documentation and assist with obtaining documentation from internal or external sources, including care managers and families.
  • Scan, save, name or rename, and upload documentation into shared folders and electronic systems, including managing and updating files for START program participants.
  • Perform data entry and complete forms and documents using information from receipts, records, or statements; update and maintain referral-related data and documents in electronic systems, shared drives, and databases.
  • Assist with developing and implementing systems and processes to improve monitoring, collecting, organizing, and tracking administrative paperwork and information.
  • Coordinate and facilitate arrivals and departures of people supported, groups, and visitors, including assisting or escorting individuals during bus duty and coordinating, scheduling, or rescheduling transportation.
  • Collect, monitor, and track information such as program attendance and service duration; compile information, report findings, and escalate concerns and patterns to supervisors or leadership.
  • Support fiscal systems involving ledgers, fee determinations, and invoices by entering information, performing basic calculations, reconciling ledgers or expenses, and selecting invoice codes.
  • Monitor and reconcile petty cash by completing paperwork, entering data, reviewing and totaling receipts, and documenting expenditures.
  • Comply with Federal, State, local, and other relevant regulatory requirements, including the Health Insurance Portability and Accountability Act.
  • For START/CSIDD assignments, coordinate and track incoming service referrals, acknowledge receipt, collect screening and eligibility information, provide instructions and documents to referrals and caregivers, and run electronic-system reports.
  • For START/CSIDD assignments, maintain the linkage database and information about community partners.
  • For START/CSIDD assignments, participate in outreach and community-based meetings to network, provide information, and build relationships.
  • For START/CSIDD assignments, assist with tracking and scheduling on-call assignments, interviews, and mandatory trainings.
  • Perform other assigned duties.
Desired Qualifications
  • Experience with individuals with intellectual and developmental disabilities.
  • Experience reconciling financial and purchasing data, including ledgers, petty cash, and invoices.
  • Previous experience using Workday or Digital Agency.
  • Verbal or written fluency in a second language.
  • For START/CSIDD assignments, a bachelor's degree in a human-services or related field.
  • For START/CSIDD assignments, experience in service coordination, case management, or intake/admissions.
