About the Job

Requirements

  • At least 2 years of experience in IT hardware procurement, purchase-order processing, or asset-management operations within a high-volume shared-services environment.
  • Hands-on experience executing transactions, catalog updates, and master-data management in SAP Procure-to-Pay or Materials Management modules.
  • Familiarity with 2-way matching for accessory quotes and 3-way matching (purchase order, receipt, invoice) for capitalized hardware assets.
  • Strong purchase-order accuracy and master-data discipline, with attention to specification and pricing detail.
  • Ability to safely sanitize, map, and process bulk data assets in CSV format without breaking dependent spreadsheet formulas or database relationships.
  • Clear English communication with requesters, approvers, and suppliers.

Responsibilities

  • Manage procurement of IT hardware, peripherals, and professional services from initial request validation through purchase requisition submission and supplier confirmation.
  • Create, amend, and expedite special, replenishment, and urgent purchase orders, ensuring each is complete, correctly priced, and properly approved.
  • Source new products and manage the purchase-order process end-to-end, from requisition to purchase-order issue and confirmation.
  • Maintain purchase-order accuracy and meet creation, amendment, and urgent-order turnaround targets.
  • Triage and resolve automated purchase-order pricing and quantity discrepancies through designated escalation paths, such as line-item cancellations or quantity revisions.
  • Process urgent or exception-driven manual requisitions in the procurement platform and apply required system-tracking tags in external reference fields to support downstream automated three-way matching and prevent invoicing holds.
  • Draft and update blanket purchase order creation logic, incorporate demand forecasts, and manage blanket purchase order uplifts when utilization reaches critical thresholds.
  • Manage Return Merchandise Authorization workflows with suppliers to resolve damaged or incorrect deliveries.
  • Manage asset lifecycles by creating part numbers, assigning assets, and updating records through moves, reassignments, and retirements.
  • Maintain accurate asset and master-data records so asset, procurement, and finance systems remain reconciled.
  • Perform bulk updates to hardware master data, including MAC addresses, serial numbers, locations, and project codes.
  • Coordinate part-number creation, submit trade-classification requests (HTS/ECCN), secure customs valuations, and coordinate regional catalog rollouts.
  • Coordinate manufacturer part number and asset reassignments in the database backend to transfer assets from source MIDs to target MIDs.
  • Administer entries in the asset-administration system by creating, editing, and activating or deactivating offerings to keep the catalog current and correct.
  • Validate prepayment terms against threshold criteria and coordinate internal cost-reallocation (chargeback) ledgers.
  • Process interdepartmental chargeback requests by validating required corporate fields, entering verified data into reallocation templates, and coordinating with invoicing teams.
  • Track new product introduction requests through the pipeline, submit supplier requests for quotes, and create system IDs needed to transact new products.
  • Coordinate with catalog and engineering teams during product launches to establish the correct Base-and-Variant MID hierarchy and regional variant entries under active parent items.
  • Facilitate international shipments by initiating part-compliance steps, including New Part Requests, trade classifications, and customs valuations, in Product Lifecycle Management tools.
  • Meet the purchase-request accuracy target of at least 99% before purchase-order-owner approval.
  • Create at least 95% of standard requisitions within 2 business days of a complete, approved request.
  • Create at least 99% of urgent requisitions within 4 hours.
  • Process at least 95% of purchase-order amendments within 1 business day and communicate approved changes within 2 days.
  • Acknowledge new procurement requests within 3 hours.
  • Maintain at least 99% data accuracy across hardware, pricing, and tax-classification fields.
  • Maintain a current directory of process documentation with revision dates and contribute to the shared knowledge base.
  • Follow up and update statuses on open catalog or exception tickets every 3 days.
  • Use SAP Procure-to-Pay or Materials Management for purchase orders and asset records, the procurement platform for purchasing, and IBP for planning inputs to procurement and asset flows.
  • Use systems for managing part numbers and engineering workflows, enterprise guided-buying networks, internal ordering portals, catalog-administration consoles, integrated business ticketing systems, and internal messaging platforms.
  • At Level I, create standard purchase orders and asset records under standard operating procedures while developing accuracy and speed on routine procurement.
  • At Level II, handle urgent and complex purchase orders, new product introduction support, and amendments with limited oversight, and resolve procurement exceptions.
  • At Level III, own master-data quality, new product introduction coordination, exception handling, and escalations for the line, and support the Team Lead on continuous improvement.

Desired Qualifications

  • Exposure to new product introduction and request-for-quote processes.
  • Familiarity with asset-lifecycle or IT asset management concepts and tooling.
  • Experience in high-volume purchase-order environments and with integrated business planning.
  • Experience administering B2B e-commerce storefronts, managing regional catalog-visibility rules, and executing product End-of-Sale and End-of-Purchase transitions.
  • Exposure to new product introduction pipelines, coordinating supplier requests for quotes, and configuring new product ID structures in corporate systems.
