About the job

Requirements
  • At least 2 years of experience in a personal assistant or executive assistant role, ideally supporting a founder, chief executive officer, or senior leader in a fast-moving environment.
  • Commercial curiosity and the ability to understand how the business makes money, what drives growth, and which items are valuable rather than merely busy.
  • Ability to quickly adopt another person's tone and write clear, warm, confident emails and documents in that person's voice.
  • Ability to prioritize effectively, politely decline low-value requests, protect time, and remain calm under pressure.
  • Proactive approach, anticipating the founder's needs and closing loops without being chased.
  • Ability to handle sensitive documents, payroll, financial information, and personal information with confidentiality.
  • Adaptability when plans change at short notice and willingness to take on varied tasks.
  • Ability to build good relationships across the business and contribute to a collaborative workplace.
Responsibilities
  • Own the founder's inbox end to end by triaging, actioning, delegating, and archiving messages so the founder sees only those that require his attention.
  • Draft and send emails, messages, and replies in the founder's voice, including partner follow-ups, investor updates, team announcements, and LinkedIn posts.
  • Write first drafts of internal memos, all-hands notes, briefing documents, and talking points.
  • Decide when to reply on the founder's behalf, when to flag items, and when to hold them.
  • Manage the founder's calendar strategically by protecting focus time, pushing back on low-value meetings, and aligning the week with company priorities.
  • Maintain a live view of the founder's tasks, pending items, and slipping deadlines, and follow up with others.
  • Prepare the founder for important meetings by outlining attendees, commercial relevance, desired outcomes, and subsequent follow-ups.
  • Make decisions under pressure and keep work moving when priorities shift.
  • Understand the business model, key metrics, and quarterly goals to identify commercially important items in the inbox and calendar.
  • Support partner, investor, and board activities by scheduling, preparing packs, tracking actions, and maintaining relationships.
  • Track commercial follow-ups involving partnerships, deals, and introductions.
  • Manage budgets for events, suppliers, and office spending; negotiate with suppliers and seek better value.
  • Support payroll, invoices, and expenses, ensuring accuracy and meeting deadlines.
  • Organize all-hands meetings, team events, and offsites within budget.
  • Keep the office running smoothly, including supplies, mail, and last-minute requests.
  • Contribute to a fun, engaging, and collaborative culture as the business grows.
  • Take on ad hoc tasks and special projects as business needs arise.
Desired Qualifications
  • Experience supporting a founder, chief executive officer, or senior leader in a fast-moving environment.

Octopus Legacy acquires Shoosmiths will bank in push to become UK's largest estate planner

Octopus Legacy has acquired the will bank of Top 100 law firm Shoosmiths, strengthening its position in regulated estate planning. The deal follows Octopus Legacy's acquisition of WSL Will Writing in the past 18 months, which brought over 300,000 clients and positioned it as the UK's second-largest estate planning firm. Sam Grice, founder and CEO of Octopus Legacy, called the acquisition "an important milestone" and testament to the company's growth within the regulated space. The firm aims to become the largest private client firm in the country whilst modernising estate planning services. For Shoosmiths, the transfer aligns with its strategy of focusing on core practice areas, following previous sales of its private client team to Rothley's and personal injury business to Fletchers.
