- A BA degree or equivalent to a four-year college degree is required.
- At least 4 years of property management experience managing a commercial or industrial multi-tenant portfolio is required.
- A proven record of providing excellent internal and external customer service is required.
- Experience with budgets and Common Area Maintenance reconciliations is required.
- Strong verbal and written communication is required.
- Strong organizational and time-management skills and attention to detail are required.
- Strong accounting skills and knowledge are required.
- Proficiency with Microsoft Excel, Microsoft Word, and Yardi is required.
- The employee must be able to stand, walk, sit for extended periods, use hands to feel, handle, or type, reach with hands and arms, climb or balance, stoop, kneel, crouch, or crawl, and talk or hear.
- The employee must occasionally lift, move, or carry up to 25 pounds.
- The employee must have close and distance vision and the ability to adjust focus.
- The employee may be required to drive to properties, walk on uneven ground and construction sites, be exposed to dust or fumes, and work around machinery or equipment.
Responsibilities
- Ensure property management services comply with policies, procedures, regulations, lease obligations, and standards for the assigned portfolio.
- Bid, negotiate, and manage vendor contracts.
- Conduct routine property inspections to prevent or identify problems and exposures.
- Recommend alterations, maintenance, and reconditioning to the Senior Portfolio Manager or Director as necessary.
- Assist Senior Portfolio Managers or the Director in completing quarterly and annual property inspection reports.
- Assist in preparing annual budgets for operating and capital expenses.
- Complete annual Common Area Maintenance reconciliations.
- Review and approve the monthly rent roll and ensure statements are sent on time.
- Ensure timely rent collection, watch-list updates, and payment of property expenses.
- Ensure tenant needs are met by administrative and building technical staff so problems are resolved promptly.
- Foster positive relationships with tenants and internal clients.
- Oversee transfer of acquisitions and dispositions, including utilities, new vendors, tenant setup, and welcome letters.
- Assist Senior Portfolio Managers or the Director in coordinating tenant improvements through punch-list completion and interior or exterior building capital projects with the Construction Department as required.
- Coordinate tenant move-ins and move-outs and complete required paperwork, including security deposit refunds, within the required timeframe.
- Coordinate preventative maintenance programs for building systems and roofs as required.
- Assist Senior Portfolio Managers or the Director in coordinating legal action as necessary, including unlawful detainer actions, early lease terminations, and settlement agreements.
- Assist in preparing and delivering timely, accurate, and complete monthly variance reporting and accruals, along with other required reporting.
- Assist in tracking environmental issues at properties and ensuring compliance by tenants and vendors.
