This privacy policy applies to all information collected through our websites (including https://simplify.jobs), our browser extension, and any related applications, services, sales, marketing, or events (collectively, the "Services"). It explains what information we collect, how we use and share it, and the rights and choices you have. If you do not agree with this policy, please discontinue use of the Services.

1. WHAT INFORMATION DO WE COLLECT?

Personal information you provide to us

In Short: We collect the personal information you give us when you create an account, build your profile, and use the Services.

Identity and contact information: name, email address, phone number, date of birth, and location.
Profile and job application information: your resume/CV, education and employment history, skills, interests, links to professional profiles and portfolios, salary preferences, work-authorization and visa-sponsorship status, security-clearance status, and the answers you save for job application questions (which can include information such as background-check acknowledgments or accommodation requests).
Voluntary self-identification information: you may choose to provide demographic information — such as gender, ethnicity, veteran status, disability status, or LGBTQ+ identification — so we can pre-fill the equal-employment sections of job applications for you. Providing it is always optional. We use it only to fill in applications at your direction and never for advertising. See Section 13 for how we treat this information under US privacy laws.
Payment information: if you purchase a subscription, our payment processor collects your payment card details. We do not store full card numbers ourselves.
Contacts and referrals: if you import your professional network or add contacts to ask for referrals, we collect the information involved — such as a contact's name, email address, employer, and professional profile — and may supplement it with information from enrichment providers. Please only share contact information you are authorized to share.
Data-labeling program information: if you apply to our data-labeling program, we collect your application, the information needed to match you with projects and pay you (such as payment and tax details), and the work you produce on program tasks. Participation is opt-in and governed by a separate agreement.
Communications: messages, feedback, survey responses, and support requests you send us.

All personal information you provide must be true, complete, and accurate, and you must notify us of any changes.

Information collected automatically

In Short: We automatically collect certain device, usage, and approximate location information when you use the Services.

When you visit or use the Services we automatically collect device and usage information such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, approximate location derived from your IP address, and information about how and when you use the Services. We need some of this information to keep the Services secure and operating, and we use some of it for analytics and advertising measurement as described in Section 5, subject to the consent and opt-out choices described there.

Information collected by our browser extension

In Short: If you install our browser extension, it processes the job postings and application forms on the pages where it works, so it can autofill applications, suggest answers, and keep your tracker up to date. We use extension data only to provide and improve the extension's features — never for third-party advertising, and we never sell it.

The Simplify browser extension activates on the job boards and application pages it recognizes. To provide its features, it collects and processes: the address and content of job postings you view (such as the job title, description, company, and location); the structure and content of application forms — field labels, answer options, and the values you enter or that we fill for you — so we can autofill applications, suggest answers, and record your applications in your tracker; and diagnostic information about how the extension is performing, which can include the address of the page where an error occurred. If you send us a support report from the extension, it includes details about the issue, which may include a recording of your interaction with the application page. The extension also stores a copy of your profile, resume, and recent answers locally on your device so it can work quickly.

We use information collected by the extension only to provide and improve the extension's features, consistent with the Chrome Web Store User Data Policy, including its Limited Use requirements. We do not use information collected by the extension for advertising, we do not sell it, and we do not use it to train generalized AI or machine-learning models.

Information from other sources

In Short: We receive information from third parties you connect to your account and from publicly available sources.

If you register or sign in through a third-party account (such as Google, LinkedIn, or Apple), or connect an integration such as Gmail, we receive the information described in Section 6. If you use features that look for connections between you and companies, we and our service providers may process the professional profile information you provide to find those paths. We may also receive job posting and company information from employers and public sources; this policy covers that data only to the extent it identifies you.

2. HOW DO WE USE YOUR INFORMATION?

In Short: We process your information to provide the Services, to secure and improve them, to communicate with you, and to market our own services — relying on performance of our contract with you, our legitimate interests, your consent, or compliance with legal obligations.

To provide the Services: create and manage your account, build and store your profile and resumes, autofill and track job applications, match you with job opportunities, and deliver the features you request. This includes using your profile, resume, employment and education history, skills, job preferences, work-authorization information, activity on the Services, and other relevant information to identify potential employment opportunities and provide the recruiting and matching services described in Section 4. Job listings shown to you may include promoted or sponsored placements.
To power AI features, as described in Section 3.
To communicate with you: send administrative messages about your account, respond to support requests, and — in accordance with your marketing preferences — send marketing and promotional communications, including personalized offers or discounts based on your use of the Services. You can opt out of marketing emails at any time (see Section 11).
To process payments and manage subscriptions, including sending you transactional receipts.
To secure and improve the Services: monitor for fraud and abuse, debug and fix errors, analyze usage trends, evaluate and improve our features and campaigns, and develop new products, services, and features.
To market our own services: measure the effectiveness of our advertising and, where permitted and subject to your choices in Section 5, reach people who have shown interest in Simplify.
To comply with law: respond to lawful requests, enforce our terms, and protect the rights, property, or safety of Simplify, our users, or others.

We may also de-identify or aggregate information so that it can no longer reasonably be linked to you, and use or disclose that de-identified information for any lawful business purpose — including research, analytics, benchmarking, and developing, training, or evaluating machine-learning systems. We maintain such information in de-identified form and do not attempt to re-identify it, except as permitted by law to test our de-identification processes.

Where the GDPR, UK GDPR, or similar laws apply, we rely on the following legal bases: performance of a contract (providing the Services you signed up for), your consent (for example, analytics and advertising cookies in the regions described in Section 5, or integrations you choose to connect), our legitimate interests (securing and improving the Services, training and improving our own machine-learning systems as described in Section 3, and marketing our own services in ways that do not override your rights), and compliance with legal obligations. Where we rely on consent, you can withdraw it at any time. Providing basic account and profile information is necessary to enter into and perform our contract with you — without it we cannot provide the Services; self-identification information and optional integrations are always voluntary.

3. HOW DO WE USE ARTIFICIAL INTELLIGENCE?

In Short: We use information to provide AI-powered features and to train, evaluate, develop, and improve Simplify's own AI and machine-learning systems. We restrict our service providers from using your information to train generalized models for their own purposes, and Simplify does not make hiring decisions.

Simplify uses artificial intelligence, including large language models, to power features such as resume generation and tailoring, cover letter drafting, job matching and scoring, application autofill, and drafting job-search emails. To provide, operate, secure, monitor, and evaluate these features, the content involved — for example, your resume, a job description, or an email you asked us to categorize — may be processed by us and by service providers acting on our behalf. These providers include categories such as AI model and model-inference providers; AI gateways and routing services; cloud computing, hosting, GPU, and other compute-infrastructure providers; and observability, evaluation, content-safety, caching, security, and related technical-service providers.

These providers may process information only on our behalf and as necessary to perform services for Simplify, subject to contractual or technical purpose restrictions. We do not authorize them to use personal information processed on our behalf to train or improve generalized models for their own purposes, and we do not sell your personal information to AI companies. Where appropriate and available, we use enterprise, no-training, zero-data-retention, limited-retention, or comparable configurations designed to limit provider retention and secondary use.

We may use information from the Services, including behavioral interaction signals, to train, evaluate, develop, and improve Simplify's own artificial-intelligence, machine-learning, recommendation, ranking, and matching systems and the new products and features we build. These signals may include jobs you view, click, save, dismiss, or apply to; searches and preferences you provide; how you respond to recommended jobs or matches; and whether you accept, reject, edit, or otherwise interact with AI-generated suggestions. We may combine these signals with other information described in this policy, such as your profile, resume, skills, experience, and job preferences, to operate and improve the Services and our systems. Two limits always apply: we never use the content of your connected email account or information collected by our browser extension to train generalized AI or machine-learning models, and we never use your voluntary self-identification information (Section 1) to train any model.

AI features on Simplify assist you — they draft, suggest, organize, and evaluate. Our matching and recommendation systems involve profiling: they analyze your profile and activity to suggest relevant opportunities. But no AI feature makes decisions about hiring, applications, or access to opportunities without human review, we do not make solely automated decisions that produce legal or similarly significant effects about you, and employers you apply to make their own decisions about your application.

4. WHEN AND WITH WHOM DO WE SHARE YOUR INFORMATION?

In Short: We share information with employers and recruiters when you apply or in connection with selected recruiting matches, with categories of service providers who process it on our behalf, and in a small set of other situations described below. We do not sell your personal information for money.

Employers and recruiters. When you apply to a job or otherwise ask us to share your profile with an employer, we send the employer your application and the supporting profile information used to complete it — such as your contact details, resume, work history, and the application answers (including any equal-employment answers) you have saved. Once received, that information is governed by the employer's own privacy practices.
Recruiter matching. As part of our recruiting and matching services, we may use your profile, resume, employment and education history, skills, job preferences, work-authorization information, activity on the Services, and other relevant information to determine whether you may be a good fit for an employment opportunity. We may present selected candidates and relevant candidate information to employers or recruiters when we believe there may be a potential match, including where a candidate has not separately applied to that employer. We do not use or disclose your saved application answers or voluntary self-identification information for recruiter matching; we share those with an employer only when you direct us to include them in an application. Once an employer or recruiter receives candidate information, its own privacy practices apply.

Simplify acts as an intermediary in recruiter matching. We do not provide employers or recruiters with unrestricted access to browse or search our user database, bulk exports or database dumps of candidate information, or general-purpose access to candidate information. Instead, Simplify determines which candidates may be relevant and presents selected candidates in connection with potential employment opportunities.
Data-labeling customers. If you opt into our data-labeling program, we share the information needed to staff and complete projects — such as your application, relevant profile information, and the work product you create on program tasks — with the customers whose projects you work on. Sharing happens only because you joined the program and only for the projects you work on; if you do not join, none of your information is shared with these customers.
Service providers. We share information with vendors who perform services on our behalf and are bound by contractual purpose limitations. They fall into these categories:
- Cloud computing, hosting, content-delivery, GPU, and other compute-infrastructure providers
- AI model and model-inference providers; AI gateways and routing services; and AI observability, evaluation, content-safety, caching, security, and related technical-service providers (Section 3)
- Analytics and product-analytics providers (Section 5)
- Advertising and attribution partners (Section 5)
- Affiliate and referral-tracking providers
- Payment processors and subscription-billing providers
- Email delivery, push-notification, and communications providers
- Business operations tools, such as internal team-communication and workflow software
- Customer support, feedback, scheduling, survey, and in-product onboarding tools
- Search-infrastructure and location-autocomplete providers
- Error-monitoring, logging, and security providers
- Professional-network and profile-enrichment providers, when you use networking features
Advertising and attribution partners. Subject to your choices in Section 5, we share limited information — such as cookie identifiers, hashed identifiers, or the fact that a signup or purchase occurred — with advertising platforms (for example, Google and Meta) to measure our advertising and reach interested audiences. Some US laws treat this as "sharing" or a "sale" of personal information; Section 13 describes your right to opt out. We never share your resume, application answers, or self-identification information with advertising platforms.
Business transfers. We may share or transfer your information in connection with a merger, sale of company assets, financing, or acquisition of all or a portion of our business.
Legal reasons. We may disclose information where required to comply with law, respond to legal process or lawful government requests, enforce our terms, or protect the rights, property, or safety of Simplify, our users, or others.
With your direction or consent. We share information in other cases when you ask us to or agree.

5. DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?

In Short: Yes. We use cookies and similar technologies in three categories — necessary, analytics, and advertising — and you control the last two.

We and our providers use cookies, local storage, pixels, and similar technologies in the following categories:

Necessary. Required for the Services to work: signing you in, keeping the session secure, remembering your cookie choices, and remembering the region-appropriate consent behavior. These are always active.
Analytics. Help us understand how the Services are used so we can improve them — page views, feature usage, performance measurements, and, for some signed-in users, session replays that show how the product was used. We use product-analytics providers such as PostHog and Google Analytics for this.
Advertising. Let advertising platforms such as Google and Meta measure the performance of our ads and show ads for Simplify to relevant audiences. Disabling this category opts you out of the "sharing" of personal information as defined by the CCPA (see Section 13).

Separately, if you arrive at Simplify through a partner's referral link, we set a first-party cookie recording that referral so the partner can be credited if you later purchase a subscription. This cookie is used only for referral payout attribution: it builds no advertising profile and sends no information to advertising platforms.

Some pages also embed third-party content or widgets — for example, financial charts on company pages, scheduling calendars, or feedback forms. When an embed loads, the third party may receive your IP address and set its own cookies; those are governed by the third party's own privacy policy, not this one.

Your controls:

If you are in the European Economic Area, the United Kingdom, or Switzerland, analytics and advertising cookies and identifiers are not set unless you turn them on in the consent banner. You can change your choice at any time via "Manage cookie preferences" on our Your Privacy Choices page.
Everywhere else, you can opt out at any time on the Your Privacy Choices page.
We honor the Global Privacy Control signal (see Section 12).
You can also configure your browser to remove or reject cookies, though this may affect some features of the Services. To learn about interest-based advertising choices generally, visit aboutads.info/choices.

6. HOW DO WE HANDLE YOUR SOCIAL LOGINS AND GOOGLE USER DATA?

In Short: If you sign in or connect an account through a third party, we receive the profile information you authorize. Google user data is handled under Google's Limited Use requirements.

Our Services let you register and sign in using third-party accounts such as Google, LinkedIn, or Apple. When you do, we receive profile information from that provider — typically your name, email address, and profile picture, and for LinkedIn your professional profile information you authorize. We use this information only for the purposes described in this policy. We do not control, and are not responsible for, how your social login provider uses your personal information; review their privacy policy for details.

If you choose to connect your Gmail account, we access your messages to power job-search features you request: identifying and categorizing job-related emails, organizing them in your application tracker, and drafting or sending emails when you tell us to. We store only message metadata and short previews (such as sender, subject, snippet, and category) to run your tracker — we do not store the full content of your emails or attachments, which remain in your mailbox and are fetched only when you view or use them. Simplify's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. In particular, we do not use your Google user data for advertising, we do not sell it, we do not use it to train generalized AI or machine-learning models, and humans do not read it except with your consent, for security purposes, to comply with applicable law, or for internal operations after the data has been aggregated and de-identified. You can disconnect the integration at any time from your account settings or via your Google security settings.

7. IS YOUR INFORMATION TRANSFERRED INTERNATIONALLY?

In Short: We are based in the United States and process information there.

Our Services are operated from the United States, and the service providers described in Section 4 are primarily located there. If you access the Services from outside the United States, your information will be transferred to, stored, and processed in the United States and other countries where our providers operate, which may have data protection laws different from those of your country. Where laws such as the GDPR or UK GDPR require a transfer mechanism, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses (and the UK equivalent) with our providers. You can request a copy of these safeguards by emailing [email protected].

8. HOW LONG DO WE KEEP YOUR INFORMATION?

In Short: We keep your information for as long as you have an account, unless a longer period is required or permitted by law.

We keep personal information for as long as necessary for the purposes set out in this policy — generally, for as long as you maintain an account with us. As a guide to the criteria we use by category: account, profile, and job application information is kept for the life of your account; voluntary self-identification information until you remove it or delete your account; payment and transaction records for as long as tax and accounting rules require; device, usage, and log data for shorter operational periods; and contact or referral information until its purpose is fulfilled or deletion is requested. When you delete your account, or when we no longer have an ongoing legitimate business need to process your information, we delete or anonymize it in our active systems. Residual copies — such as information in backup archives, logs, and our service providers' systems, or records we must keep for tax, accounting, fraud-prevention, or other legal reasons — are isolated from further processing and are deleted or expire over time.

9. HOW DO WE KEEP YOUR INFORMATION SAFE?

In Short: We use organizational and technical security measures to protect your information.

We have implemented appropriate technical and organizational security measures designed to protect the personal information we process, such as encryption and access controls. However, no method of transmission over the internet or electronic storage is 100% secure, so we cannot guarantee absolute security. You should only access the Services within a secure environment and keep your account credentials confidential.

10. DO WE COLLECT INFORMATION FROM MINORS?

In Short: We do not knowingly collect data from or market to anyone under 18 years of age.

The Services are intended for users who are at least 18 years old. We do not knowingly solicit data from or market to anyone under 18. By using the Services, you represent that you are at least 18. If we learn we have collected personal information from someone under 18, we will deactivate the account and take reasonable measures to promptly delete the data. If you become aware of any data we may have collected from someone under 18, contact us at [email protected].

11. WHAT ARE YOUR PRIVACY RIGHTS?

In Short: You can review, change, export, or delete your information at any time, wherever you live.

Regardless of where you live, you can:

Review and update your information in your account settings.
Delete your account and its data from your account settings, or by contacting us.
Opt out of marketing emails via the unsubscribe link in any marketing email or by contacting us. We will still send service-related emails necessary for your account.
Control analytics and advertising technologies as described in Section 5.

If you are in the European Economic Area, the United Kingdom, or Switzerland, you also have the rights under applicable data protection law to request access to, rectification of, or erasure of your personal data; to restrict or object to processing; to data portability; and to withdraw consent at any time (without affecting processing before the withdrawal). To exercise these rights, email [email protected]; we respond within the timelines required by law. If you believe we are unlawfully processing your personal data, you have the right to complain to your local data protection supervisory authority (EEA authorities, UK ICO, Swiss FDPIC).

We honor privacy rights requests — access, correction, deletion, and portability — for all users, wherever you live. These rights are also available to people who are not Simplify users but whose information a user has shared with us (for example, as a contact or referral): email [email protected] and we will verify and process your request.

12. CONTROLS FOR DO-NOT-TRACK AND GLOBAL PRIVACY CONTROL

We honor the Global Privacy Control (GPC) signal. If your browser broadcasts GPC, we treat it as a valid request to opt out of the sale and sharing of your personal information: advertising and analytics cookies stay off unless you explicitly enable them, and your opt-out status is shown on our Your Privacy Choices page.

Some browsers also offer an older Do-Not-Track ("DNT") setting. Because no uniform standard for DNT was ever finalized, we do not respond to DNT signals; use GPC or the controls in Section 5 instead.

13. DO UNITED STATES RESIDENTS HAVE SPECIFIC PRIVACY RIGHTS?

In Short: Yes. If you live in California or another US state with a comprehensive privacy law, you have specific rights, including the right to opt out of the "sale" or "sharing" of personal information.

Categories of personal information we collect

In the last 12 months we have collected the following categories of personal information, as described in Section 1: identifiers (such as name, email address, phone number, date of birth, IP address, and online identifiers); professional and employment-related information (such as your resume, work history, work-authorization status, and application answers); education information; internet and network activity (such as usage data, device information, and the job pages you visit when using our browser extension); approximate geolocation derived from IP address; commercial information (such as subscription purchases); inferences drawn for job matching; audio/visual information you choose to upload (such as a profile photo); and characteristics of protected classifications (such as the voluntary self-identification information described in Section 1, or age derived from your date of birth). We collect them from the sources, for the purposes, and share them with the categories of recipients described in Sections 1, 2, and 4.

Sale, sharing, and targeted advertising

We do not sell your personal information for money. Our data-labeling program (Section 4) does not change this: information is shared with program customers only when you opt in, sign a separate agreement, and direct us to share it as part of paid work. Like most companies, we use advertising cookies and send limited conversion information to advertising platforms as described in Sections 4 and 5; some US privacy laws treat this as "sharing" (or a "sale") of personal information, or as "targeted advertising." You have the right to opt out:

Visit Your Privacy Choices and disable the Advertising category — no account needed. The opt-out covers both browser-based advertising cookies and the server-side sharing of conversion events with advertising platforms.
Or turn on Global Privacy Control in your browser (Section 12), which we honor automatically.

In statutory-category terms: in the last 12 months we shared identifiers, internet and network activity information, and commercial information (conversion events) with advertising platforms for cross-context behavioral advertising; we did not sell or share any other category, and we did not sell personal information for money. We disclosed the categories listed above to the categories of service providers described in Section 4 for business purposes.

We do not knowingly sell or share the personal information of consumers under 16 years of age. Nevada residents: we do not sell covered information as defined by Nevada law; you may submit opt-out requests under NRS 603A to [email protected].

Sensitive personal information

The self-identification information described in Section 1 (such as ethnicity, veteran status, or disability status) and your work-authorization or citizenship status are sensitive personal information. We collect self-identification information only if you volunteer it, and we use these fields only to complete job applications at your direction and to provide the Services you request — never for advertising or to infer characteristics about you. We do not use or disclose sensitive personal information for purposes that require a "Right to Limit" under the CCPA.

Your rights

Depending on your state, you have the right to know what personal information we collect, use, and disclose; to access it in a portable format; to correct it; to delete it; to opt out of sale, sharing, or targeted advertising; and to not be discriminated against for exercising your rights. We do not make solely automated decisions that produce legal or similarly significant effects about you: where AI-assisted tools evaluate or rank candidates, a human reviews the outcome before any decision is made.

To exercise access, correction, deletion, or portability rights, use your account settings or email [email protected]. To opt out of sale/sharing, use Your Privacy Choices or GPC. We will verify requests using the email address associated with your account and respond within the time required by law (45 days in California, extendable once). You may use an authorized agent to submit requests on your behalf; we will require proof of the agent's authority and verification of your identity. If we decline a request, you may appeal by replying to our response, and we will explain the outcome; you may also contact your state attorney general.

California's "Shine The Light" law (Civil Code §1798.83) permits California residents to request certain information regarding our disclosure of personal information to third parties for their direct marketing purposes. We do not disclose personal information to third parties for their own direct marketing purposes. California residents under 18 with a registered account may request removal of content they publicly posted on the Services by contacting us with the email associated with the account; we will remove it from public display, though it may not be completely removed from our systems.

14. DO WE MAKE UPDATES TO THIS POLICY?

In Short: Yes, we will update this policy as necessary to stay compliant with relevant laws and to reflect how the Services work.

We may update this privacy policy from time to time. The updated version will be indicated by an updated "Last updated" date and is effective as soon as it is accessible. If we make material changes, we will notify you by prominently posting a notice on the Services or by sending you a notification directly. We encourage you to review this policy periodically.
